AEC: Using AI to Plan Better Events

I have experience using a handful of event companies in the last decade. The process and the experience was very similar, but the Nowadays research portion was a hundred times quicker. Typically, working with an event company, they already have their partnered venues that they work with and get commission from. But with Nowadays, we weren’t limited to only partnered venues. They sourced and found so many more venues, which opened up our options and gave us a full spectrum of possibilities, to the point where once we decided on a location, we felt like it was the best choice for what we needed and wanted and envisioned, and we didn’t have to look further because we were literally presented with so many options. There was no “what if we looked into this area or this place or these styles of accommodation”. – Janet Kim, Alpha Exploration Co.
Janet is an Executive Assistant at AEC and has years of experience in hospitality. Needless to say, she’s a well-seasoned event planner and is amazing at what she does. Here’s a glimpse into how she uses AI to make herself even more efficient when planning events.
Define the end goal
For Janet, the event aims to unite our remote team, boost morale, foster personal connections beyond screens, and ensure everyone leaves feeling excited about being part of AEC.
“How do you plan a successful event? Start from the end. Ask yourself the question at the beginning of the event planning process, what do I want my attendees to leave this event feeling, thinking about, talking about, and remembering? Figure out what the end goal is and then work your way towards it.”
Define factors and rank priorities
Once she defined the end goal, she prioritized the top factors in her decision-making: a boutique summer camp vibe, cleanliness, high-quality food, proximity to a beach, accessibility of activities, convenient airport transportation, and a unique, memorable experience.
Let AI work for you
AI excels at concrete tasks, boosting productivity tenfold in the logistical nightmare of event planning, especially when selecting the ideal location based on weather, direct flight availability, and activity options, among other factors. Janet leveraged AI to understand her options by using Nowadays to source resort and villa options for her team members between Canada and Mexico.
"Oh my god. I really like this. Like this is, I don't have to reach out to all 100 places. This is great. So super helpful”
💡 Tip: "Learn to use AI to help you be better at your job. Use it to your advantage, to streamline what you do on a regular basis, to help you save your time and your exec’s, to gather data, to plan even better events.” – Janet Kim, Alpha Exploration Co.
